You have resigned, served your notice, and moved on. Weeks later a background check or a new employer asks for your experience letter, and you realize you never collected it, or the one you have says the wrong things. The experience letter is one of the two documents (along with the relieving letter) that prove your employment history in India, and getting its content right matters for years. This guide covers what an experience letter is, the standard format Indian companies use, what it must contain, and how to get one if your employer delays.

Experience letter vs relieving letter: the difference

People use the terms interchangeably, but they are different documents:

What an experience letter must contain

A usable experience letter in India has eight elements, and background verification agencies check for exactly these:

  1. Company letterhead with logo, address, and contact details
  2. Date of issue
  3. Your full name (matching your ID proofs)
  4. Designation (final designation, and ideally the progression)
  5. Employment dates: exact joining and last working dates
  6. Brief description of responsibilities or department
  7. A conduct and performance remark ("his conduct was found satisfactory" is standard)
  8. Authorized signatory's name, designation, signature, and company seal

Missing dates or a name mismatch with your Aadhaar or PAN are the two most common reasons background checks flag a letter. Check both before you leave the building.

That is the whole letter. Anything longer is unusual; anything shorter risks failing verification.

When you will need it

  • Background verification at every new job; Indian IT companies verify the last two or three employers as standard
  • Visa applications (work visas especially) that require proof of experience in years
  • Home and personal loans, where lenders verify employment history
  • Further education, where some programs ask for work-experience proof

Because you cannot predict which one comes up, collect the letter at exit even if nobody is asking for it right now.

If your employer delays or refuses

  1. Ask in writing first. Email HR with a clear request and keep the thread. Most delays are process backlog, not refusal.
  2. Follow up weekly with HR and your ex-manager in CC after two weeks.
  3. Check your settlement status. Some companies hold documents until the full and final settlement clears (30 to 45 days is normal).
  4. Escalate formally. If a company withholds your documents after a proper exit (notice served, dues cleared), a legal notice usually resolves it quickly; withholding experience letters after a clean exit is not defensible, and employers know it.

While you wait, your appointment letter, salary slips, and Form 16 partially substitute in verifications, but they do not replace the experience letter. If you left on bad terms and worry about what HR will say in verification, keep your exit paperwork complete: resignation email, acknowledgment, and settlement proof are your protection.

Experience letter for probation and short stints

Left during probation or after a short stint? You can still request an experience letter for the period served, and companies generally issue one for any tenure above a few months. Decide case by case whether to show a very short stint to the next employer at all; if you show it, the letter must match your resume dates exactly, because verification compares all three: resume, letter, and the employer's own records. Frequently asked questions

Is an experience letter mandatory for my next job?

Most Indian companies require either it or the relieving letter for background verification. Startups sometimes accept salary slips plus a reference call, but larger companies and their verification agencies insist on the letter.

Can I get an experience letter years after leaving?

Yes. Companies keep employment records and will reissue on request, though old companies that shut down or merged can be a problem; collect the letter at exit to avoid this entirely.

What if my designation changed during my tenure?

Ask HR to list the progression ("joined as Analyst, promoted to Senior Analyst in 2025"). It strengthens the letter and helps verification match your resume exactly.

Does the letter mention salary?

Usually not. Some companies issue a separate salary certificate on request. If a visa application needs salary proof, ask for that certificate alongside the experience letter.

My company shut down. What now?

Collect what you can: appointment letter, salary slips, Form 16, PF records (your EPFO history is official proof of employment dates), and a reference from your ex-manager. Is a digital or emailed experience letter valid?

Yes. Most companies now issue signed PDFs by email, and verification agencies accept them. What matters is the content and the verifiable signatory, not the paper. Save the original email with the PDF; the thread itself is provenance if the letter is ever questioned.

Can I draft the letter myself for HR to sign?

Common practice at small companies, and HR usually appreciates it. Use the standard format above, keep every fact verifiable, and never inflate the designation or dates; a discrepancy discovered in a later background check does far more damage than a plain letter.
