You applied. You waited. Nothing came back. In India, most applications never get a rejection email, so silence does not mean no. A well-timed job application follow-up email can pull your application back to the top of a recruiter's inbox. A badly timed one hurts you. Here is when to send one, what to write, and when to stop.

If the job post says a closing date, wait until after it. Recruiters often review all applications in one sitting after the deadline.

How many times can you follow up?

Two. One after the first wait, one a week later. After that, let it go and keep applying. Our advice on how many jobs to apply to is to run many applications in parallel, so no single silence matters.

Whom to email

Use the recruiter's email from the job post or LinkedIn. If you have none, find the hiring manager or a team member on LinkedIn and send a short message. A referral request message to someone inside the company often works better than a cold email to a generic HR address.

Keep it short enough to read on a phone. If your follow-up needs scrolling, it is too long.

Template 1: after applying online

Template 3: when you have a competing offer

Be honest. Never invent a competing offer; recruiters talk, and you lose trust fast. If you are weighing offers, see when to accept or decline a counter offer.

Mistakes to avoid

  • Following up the next day. It signals impatience.
  • Emailing and calling and messaging the same day. Pick one channel.
  • Complaining or guilt-tripping. Stay neutral and useful.
  • Forgetting to attach the resume. Make it effortless to act. If your resume is weak, check why your resume is not getting shortlisted.

When silence means move on

After two follow-ups and about three weeks, treat it as a no. Keep your application log, set a reminder to re-apply in three to six months, and spend your energy on new openings.

Tracking your follow-ups

Keep a simple sheet with company, role, date applied, contact name, follow-up date and status. When you apply to 20 or 30 roles, it is easy to email the wrong person or follow up twice in one week. Set a reminder seven working days after each application and check the sheet each Monday.

Fresh graduates in particular should use the follow-up to restate one concrete project or skill, since resumes without experience look alike. A line such as "I built a student attendance app used by 120 classmates" gives the recruiter a reason to open your file again.

Email if you have a recruiter address; LinkedIn if you do not. Do not use both on the same day.

Is it okay to follow up after rejection?

You can send a short thank-you and ask for feedback or to be considered for future roles. Do not argue the decision.
