Thank-You Email After Interview: Templates and Timing for India
How to write a thank-you email after an interview in India: timing, subject lines, a simple structure, copy-paste templates, and mistakes to avoid.

Most candidates in India skip the thank-you email after an interview. That is exactly why a good one works. It takes five minutes, keeps your name fresh while the hiring team compares notes, and gives you one more chance to fix something you fumbled in the room. Here is how to write it, when to send it, and what to avoid.
Does a thank-you email actually matter?
It will not rescue a bad interview, but it often breaks ties between two similar candidates. Recruiters and hiring managers read it as a sign of interest and professionalism. For fresher roles at service companies the process is largely standardised, but for product companies, startups, and mid-level roles at Indian firms, the follow-up counts.
When to send it
Within 24 hours. Same evening is ideal. If you interviewed in the morning, send it by night. If the process has several rounds in one day, send one email to each interviewer whose address you have; if you only have the recruiter's address, send one email to the recruiter and mention everyone you met.
The four-part structure
| Part | What to write | Length |
|---|---|---|
| Thanks | Name the role and the date | 1 line |
| Specific moment | Something from the conversation you found useful | 1-2 lines |
| Fit | One sentence linking your skill to their need | 1-2 lines |
| Close | Interest in next steps, polite sign-off | 1 line |
The most common failure is a generic email. Mention one real detail from the conversation and the email stops sounding copy-pasted.
Subject line options
- Thank you - Business Analyst interview, 3 October
- Thanks for your time today, Priya
- Following up on my interview for the Operations role
Keep it plain. No emojis, no "Urgent".
Template 1: after a technical round
Hi Rahul,
Thank you for taking the time to speak with me today about the Backend Developer role. I enjoyed discussing how your team handles API rate limiting, and it made me want to try the caching approach you described in my own projects.
My experience building order APIs that handled 40,000 requests a day at my internship lines up well with the scale you described. I would be glad to share a short write-up of that project if useful.
Thanks again, and I look forward to the next steps.

Template 2: after an HR or managerial round
Hi Ms Iyer,
Thank you for meeting me today. I appreciated hearing about the team's targets for the next two quarters, and the point about customer retention being the main KPI. It confirmed my interest in the role.
In my last job I raised repeat orders by 18% in six months, and I think that experience applies directly here. Please let me know if you need any documents or references from my side.
Regards,
Vikram Nair
Template 3: when you want to fix an answer
If one answer felt weak, add a short correction: "After our conversation I thought more about your question on handling tight deadlines. A better example is the time I..." Keep it to three sentences. Do not re-argue the whole interview. If you struggled with common questions, work through HR interview questions and the STAR method before the next round.
Mistakes to avoid
- Sending a wall of text. Under 120 words is enough.
- Asking about salary. Wait for them to bring it up. When they do, see how to answer the expected CTC question.
- Wrong name or company. Proofread twice if you send multiple emails.
- Chasing in the same email. A thank-you is not a status check. If a week passes with no reply, send a separate note; our guide to referral and follow-up messages helps with tone.
Should you also message on LinkedIn?
A short LinkedIn connection note works as a backup if you do not have an email address: "Thanks for the conversation today. Happy to connect." Do not send both a long email and a long LinkedIn message; one channel is enough.
Thank-you emails for different interview types
Campus and walk-in drives: a thank-you to the recruiter is optional but memorable, especially if you were shortlisted from a crowd. Panel interviews: send one email addressed to the panel, mentioning one point from each member. Video interviews: mention anything you could not demonstrate on screen and offer to share it afterwards.
A quick pre-send check
- Is the interviewer's name spelt correctly?
- Does it mention the role title and the date?
- Is there one specific detail from the conversation?
- Is your phone number in the signature?
- Is it under 120 words?
Frequently asked questions
Is a thank-you email necessary after every round?
Not every round, but yes for the final interview and any round with a hiring manager. For a quick screening call, a short note to the recruiter is enough.
What if I do not have an interviewer email?
Send it to the recruiter who scheduled the interview and ask them to pass it on, or connect on LinkedIn.
How long should it be?
Under 120 words: thanks, one specific detail, one line on fit, and a close.
Can I send it the next morning?
Yes, up to 24 hours is fine. After two days it starts to feel late.
