A joining letter (also called a joining report) is a short, formal letter you give your new employer on your first day to confirm that you have reported for duty. It states your name, the post you were appointed to, the reference and date of your appointment letter, and the date and time you joined, and you sign it. Private companies often take it by email or on an onboarding portal; government and PSU offices usually want a signed paper copy.

Below are ready formats for private jobs, government jobs, freshers and joining after a delay, plus a joining-day checklist.

What is a joining letter?

A joining letter is your written confirmation that you have started the job. It is written by you, the new employee, and addressed to HR or the head of your office. It gives the employer a dated record of when your service began, which matters for salary, leave, probation and PF.

It is different from the letters the company gives you:

LetterWho writes itWhenWhat it does
Offer letterCompanyBefore you joinOffers you the role and salary
Offer acceptanceYouBefore you joinAccepts the offer in writing
Appointment letterCompanyBefore or on joiningSets out the formal terms of employment
Joining letter / reportYouOn your first dayConfirms the date you reported for duty

If you have not sent your acceptance yet, see our offer acceptance email formats, and our guide to the offer letter vs appointment letter.

What should a joining letter include?

  • Your name and address, and the date
  • The addressee: HR manager or head of office, with the company or office address
  • Subject: "Joining report for the post of [Role]"
  • The reference number and date of your offer or appointment letter
  • The post, department and location you were appointed to
  • The date (and, for government offices, the time: forenoon or afternoon) you reported
  • A line saying you are submitting the documents asked for, if any
  • Your signature, name, and employee ID if you already have one

Joining letter by email

Many private companies, especially in IT and services, take the joining confirmation by email or through an onboarding portal. Keep the same details, but shorter, and send it from the address you gave HR.

Subject: Joining confirmation – Priya Menon – Business Analyst

Dear Rahul,

I have joined today, [date], as Business Analyst in the Operations team at the Bengaluru office, as per the appointment letter dated [date] (ref. [number]).

I have uploaded my documents to the onboarding portal. My previous employer's relieving letter is attached; my UAN is [number] for the PF transfer.

Looking forward to working with the team.

Regards,
Priya Menon

Check that the subject line has your name and role, so HR can find it among other new joiners' emails, and keep the reply in the same thread HR used for your offer if there is one.

If your company uses a portal instead, the portal's "joining confirmation" step usually replaces this email. You can still send a short note to your manager on day one; it is a good first impression.

Joining report format for a government or PSU job

Government and PSU joining reports are more formal and usually mention the appointment order number and whether you joined in the forenoon or afternoon, because that decides the date your service is counted from. Follow any format your office gives you; otherwise:

To
The [designation of the officer]
[Office name and address]

Subject: Joining report

Sir/Madam,

In pursuance of appointment order no. [order number] dated [date], I hereby report for duty as [post] in the [office/department] on [date] in the forenoon.

The documents required as per the appointment order are enclosed.

Yours faithfully,
[Signature]
[Name]
[Address and mobile number]

Enclosures: [list]

Keep a photocopy with the office's receipt stamp or signature on it. If your joining was against a recruitment exam, keep it with your other exam documents.

Joining letter for a fresher

For a fresher, the format is the same; keep it simple and make sure the dates match your offer. If you are joining as a trainee, write the exact designation from the offer, such as "Graduate Engineer Trainee" or "Management Trainee".

Dear Ms. Sharma,

I have joined [Company name] today, [date], as Graduate Engineer Trainee in the Pune plant, as per the offer letter dated [date]. My college degree certificate will be submitted once the university issues it; I have attached my provisional certificate and final marksheet for now.

Regards,
Aditya Kulkarni

Saying clearly which documents are pending, and why, saves back-and-forth with HR later.

Joining letter after a delay

If you joined later than the date in your offer, the joining letter should say so honestly and mention the approval.

With reference to the appointment letter dated [date], which mentioned a joining date of 1 December, and the extension approved by Ms. Kapoor by email on 25 November, I have reported for duty today, 8 December.

Never write the original date if you actually joined later. The joining date drives your salary for the month and your probation, and it should match the attendance record.

Joining day checklist

Most companies send a list. If yours has not, these are the usual items; carry originals and self-attested copies.

ItemWhy it is asked for
Offer / appointment letter (signed copy)Proof of the terms you accepted
ID and address proofKYC and employee records
Education certificates and marksheetsBackground verification
Relieving and experience letters (if not a fresher)Proof you have left your last job
Recent salary slips (if asked)Salary history check
Bank account detailsSalary credit
UAN, if you had a PF account beforeLinking your PF to the new employer
Passport-size photosID card and records

If the company is covered by EPF, HR usually gives you a declaration form, known as Form 11, asking whether you had a PF account before, so your old account can be linked. Our guides to UAN activation and KYC and PF transfer on a job change explain what to do with your old balance. Your documents will also be used for background verification.

Common mistakes in a joining letter

  • Wrong reference. Copy the appointment letter's number and date exactly.
  • Wrong designation. Use the title in the offer, not a casual version of it.
  • A date that doesn't match attendance. Write the day you actually reported.
  • No copy for yourself. Keep a signed or acknowledged copy; it is your record of when service began.
  • Forgetting to list pending documents. Say what is pending and when you will submit it.

Frequently asked questions

Is a joining letter the same as an appointment letter?

No. The appointment letter comes from the company and sets out your terms. The joining letter (or joining report) is the short note you write to say you have reported for duty on a given date.

Who do I address the joining letter to?

Usually the HR manager, or the head of your department or office. Government and PSU offices often name the officer in the appointment order; address it to them.

Can I submit the joining letter by email?

Yes, if HR accepts email. Many private companies do it through an onboarding portal or email; government offices usually want a signed paper copy.

What documents should I carry on my joining day?

Usually your offer or appointment letter, ID and address proof, education certificates, previous relieving and experience letters, recent salary slips if asked, passport photos and bank details. Your HR's checklist is the final word.

What is the joining date in a joining letter?

The date you actually reported for work. If you joined later than the date in your offer, write the real date, and mention the approval for the change if you have it.
