To accept a job offer by email, reply to the HR person who sent the offer within its deadline. Thank them, state clearly that you accept the offer for the named role, confirm the salary (CTC), joining date and location exactly as written in the offer letter, and say what you will send next, such as the signed offer letter or joining documents. Keep it short, formal and in the same email thread.

Below are ready-to-use formats for freshers and experienced hires, a version that asks for a different joining date, and the checks to do before you press send.

What should an offer acceptance email include?

An offer acceptance email needs five things: thanks, a clear "I accept", the key terms, your joining date, and the next step. Anything vaguer, such as "sounds good", leaves room for confusion later.

Dear Ms. Rao,

Thank you for the offer letter for the position of Graduate Engineer Trainee at [Company Name]. I am pleased to accept the offer.

As per the offer letter, I confirm the following:

Copy the CTC and dates from your offer letter word for word. If something in the letter looks wrong, ask about it in a separate line rather than quietly correcting it.

If you are serving a notice period, say when you will resign and when you expect to be relieved. Our guide to notice period rules in India explains what your current employer can and cannot ask of you.

How to accept an offer and ask for a different joining date

Accept first, then ask, in the same email. Give a reason and a specific date, so HR can say yes or no quickly.

Dear Ms. Kapoor,

Thank you for the offer for the role of Customer Success Associate. I am glad to accept it.

The offer mentions a joining date of 1 December. My final semester exams end on 5 December, so I would like to request a joining date of 8 December, if that works for the team.

Please let me know, and I will send the signed offer letter with the confirmed date.

Regards,
Imran Khan

Do not assume the new date is agreed until HR confirms it in writing.

What if the offer came on a call or WhatsApp?

A verbal or WhatsApp offer is not yet an offer you can rely on. Thank the recruiter, say you are interested, and ask for the written offer letter by email before you accept or resign anywhere.

Thank you for calling with the good news, I'm very happy to hear it. Could you please share the offer letter by email with the CTC break-up and joining date? I'll review it and reply with my confirmation within a day.

Once the letter arrives, accept it by email using one of the formats above. Your acceptance should point to a document, not to a phone call.

Formal offer acceptance letter format

Some companies, especially in manufacturing, banking and government-linked organisations, ask for a signed acceptance letter rather than an email. Print it, sign it, and send a scan if asked.

What to check before you accept a job offer

Once you accept, the terms are hard to change. Spend ten minutes on these checks first.

  1. Salary. Look at the CTC break-up, not just the total. Fixed pay, variable pay, PF and gratuity all sit inside CTC. Put the numbers into the in-hand salary calculator to see your monthly take-home.
  2. Role and location. The designation and city in the letter should match what you discussed.
  3. Joining date and deadline. Note both, and reply before the deadline.
  4. Bond or service agreement. If the letter mentions a bond, read exactly what it asks you to repay and when.
  5. Offer letter or appointment letter. Know which one you have. See offer letter vs appointment letter.
  6. Is the offer real? A real employer does not ask you to pay for training, laptops or "registration". If anything feels off, read our guide on spotting a fake job offer before you reply.

If the salary is lower than you hoped, negotiate before you accept, not after. Our salary negotiation email guide has formats for that.

Common mistakes in an offer acceptance email

  • Being vague. "Okay, thanks" is not a clear acceptance. Say "I accept".
  • Not confirming the terms. If the CTC in your email is different from the letter, HR will notice. Better still, you will notice an error before joining.
  • Resigning too early. Do not resign from your current job until you have the signed offer in hand.
  • Replying from an unprofessional email ID. Use an address with your name in it.
  • Negotiating inside the acceptance. If you want different terms, settle them first, then accept.
  • Missing attachments. If HR asked for a signed copy, attach it, and check the file opens.

What happens after you accept

After you accept, HR usually sends joining formalities: a document list, a background verification form and sometimes an onboarding portal login. Keep your education certificates, ID proof, previous offer and relieving letters and recent salary slips ready. Our guide to the background verification process explains what gets checked.

If you are leaving a job, this is when you write your resignation letter. Leave on good terms; the people you work with now are your references later.

Frequently asked questions

Is an email enough to accept a job offer in India?

For most private companies, yes: a clear reply email from you is the usual acceptance. Some companies also ask you to sign the offer letter on a portal or return a signed scan. Do whatever the offer letter or HR asks, and keep a copy.

How soon should I reply to an offer letter?

Reply within the deadline in the offer, and ideally within one or two working days. If you need more time to decide, ask for it politely in writing instead of going quiet.

Should I resign from my current job before accepting the new offer?

No. Accept the new offer in writing first, make sure you have the signed offer letter, and only then hand in your resignation. Many people also wait until background verification has started.

Can I negotiate after I accept an offer?

It is much harder. Negotiate salary, joining date and role before you send the acceptance, not after. Once you accept, the company treats the terms as agreed.

What if I accepted an offer and then want to decline it?

Tell HR as early as possible, by email, with a short and polite reason. Backing out after accepting can burn the bridge with that company, so decide carefully before you accept.
